Bookkeeping for chiropractic clinics in Columbus, OH

Prepaid plans, personal-injury cases and supplement sales, each on its own line — so a good month is a good month and not a plan sold early.

A chiropractic clinic can look like it had a record month because it sold four care plans on the last Friday. None of that care has been delivered yet, and some of it will be refunded. Booked as income on the day it was sold, it flatters one month and hollows out the next six.

We hold prepaid plans as deferred revenue and release them as visits are used, so the practice's income follows the work. Personal-injury and lien cases age on their own clock rather than sitting in the same pile as a patient who paid at the desk. Supplements and retail products get counted and costed separately from clinical income.

What you end up with is a month that means something: what you earned, what you still owe in care, and what the adjusting table actually returns.

What your books actually need

  • Prepaid care plans held as deferred revenue and released as visits are used, not booked the day they are sold
  • Personal-injury and lien cases tracked as receivables that age on their own timeline
  • Supplement and retail product sales separated from clinical income, with inventory counted
  • Massage and rehab staff classified deliberately — contractor or employee — with pay reconciled either way
  • Insurance adjustments taken against gross charges, so collections reconcile to what was billed
  • Table, laser and equipment financing split between interest and principal every month

What it costs

$99/month, billed annually

Or $124/month billed month to month. One flat fee. No setup fee.

Questions

Do you work with my CPA?

Yes. Most practices keep the accountant they already have. We keep the books through the year and hand over a clean, reconciled file at year end — so they file from it rather than rebuilding it in March.

Why not count a care plan as income when it is paid for?

Because you still owe the visits. Until they are delivered the money is a liability, and treating it as income overstates the month it was sold and understates every month it is actually earned in. It also leaves you without a figure for what you would owe back if a patient stopped coming.

Do you handle patient records?

No, and we ask you not to send them. We work from bank, card and merchant feeds and the summaries your practice software already produces — dollars, not charts. We are not a HIPAA business associate, so please keep patient-identifying documents out of anything you upload to us.

We're behind. How far back can you go?

As far back as you need. Catch-up work is quoted separately from the monthly fee, once we've seen how many months are open and how many accounts are involved — it is a one-off project, and pricing it as one keeps your monthly number honest.

Do you handle the supplement inventory?

Yes. Retail products are counted at year end and costed against the sales they belong to, so the clinic's product margin is separate from what the adjusting table earns. You get a count sheet rather than a request to work it out yourself.
