Bookkeeping for dental practices in Columbus, OH
Production, collections and insurance write-offs kept straight — so the numbers you run the practice on are the numbers on the return.
Most dental books break in the same place. Insurance pays less than you billed, and the difference gets filed as an expense. From that one habit, production and collections drift apart, margin per chair stops meaning anything, and nobody trusts the profit and loss enough to make a decision from it.
We record the write-off where it belongs — as a reduction of what you actually earned — and carry patient credits as money you still owe rather than money you made. Supplies, lab fees and pharmaceuticals sit in cost of revenue, so what is left after a crown is a number and not a guess.
You get a closed month within days of it ending, reconciled to the cent, with the questions we could not answer ourselves in a short list instead of buried in a spreadsheet.
What your books actually need
- Insurance write-offs recorded as a reduction of receipts, never as an expense — production and collections stop disagreeing
- Patient credit balances carried as a liability until they are earned or refunded
- Supplies, lab fees and pharmaceuticals in cost of revenue, so chair-side margin is visible
- Associate pay kept apart from owner draws, whether you file as a sole practitioner, a PC or an S-corp
- Chair, CEREC and equipment financing split between interest and principal every month
- A close your accountant can file from, delivered days after month end rather than in January
What it costs
Or $124/month billed month to month. One flat fee. No setup fee.

Do you work with my CPA?
Yes. Most practices keep the accountant they already have. We keep the books through the year and hand over a clean, reconciled file at year end — so they file from it rather than rebuilding it in March.
Do you handle patient records?
No, and we ask you not to send them. We work from bank, card and merchant feeds and the summaries your practice software already produces — dollars, not charts. We are not a HIPAA business associate, so please keep patient-identifying documents out of anything you upload to us.
We're behind. How far back can you go?
As far back as you need. Catch-up work is quoted separately from the monthly fee, once we've seen how many months are open and how many accounts are involved — it is a one-off project, and pricing it as one keeps your monthly number honest.
What do you need from us each month?
Read-only access to the bank and card accounts, your merchant statements, and a production and collections summary out of your practice-management software. That is usually the entire list — we do not need logins to anything clinical.
We have two locations. Does that change things?
Each location gets its own set of revenue and cost lines, so you can see which one is carrying the other, alongside a combined view for the return. It is the same monthly close, reported twice over.
