Bookkeeping for veterinary practices in Columbus, OH

Pharmacy, wellness plans and boarding kept on separate lines — so you can see which part of the practice is paying for the rest.

A veterinary practice is four businesses wearing one roof: medicine, a pharmacy, a retail shop and, very often, boarding and grooming. Run through a single income account they average into a number that tells you nothing — and the one losing money is invisible because the other three are covering it.

We give each its own revenue and cost lines, count the pharmacy and food inventory properly, and hold wellness plans as deferred revenue so a year of care sold in January does not read as a January profit.

The result is a monthly close you can act on: which services earn their space, what is sitting on the shelves, and what the practice is actually worth per veterinarian.

What your books actually need

  • Pharmacy, food and retail inventory counted and costed, apart from medical service income
  • Wellness plans held as deferred revenue and released month by month as care is delivered
  • Boarding, grooming and daycare on their own revenue lines, so you can see which ones pay
  • CareCredit and third-party financing fees recorded as fees, not netted quietly into the deposit
  • Associate DVM production pay reconciled against the income it was earned on
  • Practice and equipment loans split between interest and principal every month

What it costs

$99/month, billed annually

Or $124/month billed month to month. One flat fee. No setup fee.

Questions

Do you work with my CPA?

Yes. Most practices keep the accountant they already have. We keep the books through the year and hand over a clean, reconciled file at year end — so they file from it rather than rebuilding it in March.

Do you handle the pharmacy and retail inventory?

Yes. Drugs, food and retail products are counted and costed against the sales they belong to, so what the pharmacy earns is separate from what medicine earns. You get a count sheet to work from rather than an instruction to produce one.

Do you handle patient records?

No, and we ask you not to send them. We work from bank, card and merchant feeds and the summaries your practice software already produces — dollars, not charts. We are not a HIPAA business associate, so please keep patient-identifying documents out of anything you upload to us.

We're behind. How far back can you go?

As far back as you need. Catch-up work is quoted separately from the monthly fee, once we've seen how many months are open and how many accounts are involved — it is a one-off project, and pricing it as one keeps your monthly number honest.

We run boarding and grooming too. Is that a problem?

It is the reason to do this properly. Boarding and grooming carry different margins and different labour costs than medicine, and averaged together they hide each other. Each gets its own lines, reported monthly.
